Stipend Creation and How to Edit an Existing Stipend
Accessing the Stipend Management Application (SMA)
All employees have requestor access to SMA system. If you need to be an approver, please submit a request to https://go.gwu.edu/easform or http://it.gwu.edu/support .
Note: Make sure you are in GW IP space or sign into the VPN if you are off campus to access SMA system.
Step 1. Log into the My GWU Portal Link https://portal.gwu.edu/dashboard , search on “Stipend”, and Click on “Tools”.
Step 2. To add SMA to the "Shortcuts" and "Resources and Tools" menus, click the star and plus symbol highlighted below.
Step 3. After step #2, you should be able to access SMA using either the "Shortcuts" or "Resources and Tools" menus highlighted below.

Step by Step Instructions for Stipend Creation
Step 1. Access the Stipend Management Application and select Stipend Request Forms.
Step 2. Enter all the required fields such as GWID or First and LastName and search for the correct recipient.
Step 3. Complete all required fields and save. The stipend number will be displayed.
- Select the recipient
- Select Create Stipend
Complete at least these required fields:
- Pickup Code
- Total Award Amount
- Stipend Start Period
- Number of Months
- Regular Amount
- Last Month Amount
- Retro Active
- Approver Role
Select the appropriate accounting information on right side of the form and save.
Step 4. Submit for approval.
Step by Step Instructions for Stipend Edit
Step 1. Access the Stipend Management Application and select Stipend Request Forms.
Step 2. Enter all the required fields such as GWID or First and LastName and search for the correct recipient.
Step 3. After the search, select the radio button to enable the "Create Stipend" option. Select the stipend to be edited, which will enable the "Edit Stipend" tab. Click on "Edit Stipend", make the necessary changes, and save.
